ADMINISTRATION ASSISTANT

Part-time – 20 hours per week – 3 month temporary contract (with option to apply for the permanent position)

£13.06 per hour, equivalent to £25,119 per annum full time 37 hours a week, SCP 9 (LC1, 7-12)

25 days holiday per annum (pro rata for full time 37 hours)

Qualifying auto-enrolment pension contribution 8% (5% employee, 3% employer to People’s Pension Scheme)

Location: Whitwick Parish Council community office, 3a Market Place, Whitwick, Coalville, Leicestershire LE67 5DT

This is an exciting opportunity for an enthusiastic, competent and proactive person to help take the Parish Council forward.

We are looking for someone with strong administrative skills and customer service experience, plus the ability to provide sound and impartial advice to our Councillors.  You will need a good level of computer experience and should be confident using Microsoft Excel. Candidates should have GCSE’s in Maths and English at Grade C/Grade 4 or above. You will need to be able work flexibly and on your own initiative from the Council’s Community Parish Office.  Attendance at evening meetings and occasional weekend working may also be required.

Our current office opening times are Wednesday 1-4pm, Thursday & Friday 10am-1pm. Ideally the candidate would be available to cover these opening times but this is open to discussion.

Key areas of responsibility:

Managing the bookings for Whitwick Park Hall – dealing with phone and email enquiries, completing all the bookings paperwork and payments, managing the diary and caretakers, invoicing regular hirers. Responsibility along with the Clerk for onboarding the new bookings software programme.

Updating the Parish Council website and Facebook page with current news, activities, meeting information and ensuring all pages are accurate and have up to date information and policies.

Producing the monthly Newsletter using Microsoft Publisher or other alternative software.

Processing the VAS (Vehicle Activation Signs) data using the supplied software, and sharing the information via the website and to Councillors.

Daily office duties comprising answering the phone, responding to emails in a polite, prompt and informative manner and assisting with customers and Councillors that come into the office.

Support with various administration tasks such as tenants leases, tenants invoices, licenses, renewals, risk assessments, health and safety, first aid, key logs, monitoring Councillors meeting attendance, sending out post.

Supporting the Clerk with Parish Council meetings, helping produce agendas and supporting documents.

About you:

You will be the kind of person who gets a sense of satisfaction from getting things organised and systems and processes in place.

You will be someone who can cope with working under pressure when a deadline is looming, or when placed in a stressful situation such as dealing with an irate member of public or Councillor.

You will be someone who is capable of prioritising jobs and workload.
